Fair Trading Compliance Statement, Privacy Policy & Terms and Conditions
 
1. Fair Trading and Consumer Law Compliance World Travel Guide operates in compliance with the Australian Consumer Law (ACL) and the requirements of NSW Fair Trading. We are committed to providing fair, transparent, and ethical services in all travel arrangements. As required by law, our agency ensures that all advertising, pricing, and promotional materials are accurate and not misleading. Clients are entitled to the rights and guarantees set out under the ACL, including but not limited to: Accurate representation of travel services and products. Refunds and remedies in cases of major service failures. Honest and transparent communication regarding pricing, itineraries, and terms. Protection of consumer rights in relation to cancellations, changes, and supplier performance. World Travel Guide abides by these regulations to ensure the highest standard of consumer protection.
 
2. Privacy Policy World Travel Guide respects your privacy and complies with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We collect personal information such as your name, contact details, passport information, and payment details only for the purpose of arranging and managing your travel bookings. Your personal information is used solely to provide travel-related services, communicate important updates, and ensure compliance with travel regulations. We do not share your information with third parties except where necessary to fulfil bookings (e.g., airlines, hotels, and tour operators) or where required by law. 3. Terms and Conditions By booking with World Travel Guide, you agree to the following terms and conditions: Booking Confirmation: Bookings are confirmed upon receipt of payment or deposit as specified. Payments: All prices are in Australian Dollars (AUD) and include GST where applicable. Full payment must be received by the due date to secure reservations. Changes and Cancellations: Fees may apply for changes or cancellations. Refunds are processed according to supplier policies and the Australian Consumer Law. Travel Insurance: Clients are strongly advised to obtain comprehensive travel insurance to cover cancellations, delays, medical emergencies, and other unforeseen events. Liability: World Travel Guide acts as an agent for airlines, hotels, and tour operators. We are not liable for loss, damage, or injury caused by third-party suppliers beyond our reasonable control. Documentation: Clients are responsible for ensuring that passports, visas, and other travel documents are valid for the duration of travel. Dispute Resolution: Any disputes should first be raised with our management team. If unresolved, clients may seek assistance from NSW Fair Trading.

4. How do we collect personal information?
We collect personal information you provide directly when you make a booking, create an account, sign up for our newsletter, contact customer service, or complete forms—this can include your name, contact details, passport or ID numbers, payment information, travel dates and preferences, emergency contacts, and any special needs. We also gather data automatically when you use our website or app (for example cookies, device identifiers, IP address, location data and analytics) to improve and personalize our services. In some cases we receive information from trusted third parties such as airlines, hotels, travel partners, payment processors, and publicly available sources to complete reservations and comply with legal or safety requirements. We collect only the information necessary for the requested service, and where required we do so with your consent and protect it according to our privacy practices.


5. How do we use your personal information?
We use your personal information to provide, manage, and improve our travel services. This includes processing bookings and payments, confirming reservations, issuing tickets, and communicating important travel updates or itinerary changes. We also use your details to personalize your experience—such as recommending destinations, tours, or offers based on your preferences—and to provide customer support when you contact us. Your information may be used for administrative, security, and legal purposes, including fraud prevention, compliance with travel regulations, and fulfilling our legal obligations. With your consent, we may also send you marketing communications about special deals, promotions, or new services we think you’ll enjoy. We ensure your information is used responsibly and only for legitimate business purposes connected to your travel experience.

6. Is personal information disclosed to third parties?
Yes, we may disclose your personal information to trusted third parties when it is necessary to provide our travel services. This may include airlines, hotels, tour operators, insurance providers, car rental companies, payment processors, and other service partners involved in arranging your travel. We only share the information required for these parties to perform their services and ensure they protect it in line with privacy and security standards. In some cases, we may also disclose information to government authorities, customs, immigration, or regulatory bodies when required by law. We do not sell or rent your personal information to third parties for marketing purposes. Any sharing of data is done carefully and solely to ensure you receive the best possible travel experience.

Feedback / Complaints / Subject Access Requests / Contact
If you have any questions, feedback, or complaints regarding how we handle or disclose your personal information, please contact us using the details provided below.
No matter where you are in the world, you may submit a Subject Access Request if you wish to update or correct your personal information, request a copy of the data we hold about you, ask for your information to be deleted, or restrict how we process your data. To do so, please use the Subject Access Request link provided below. We will review and respond to your request within the time frame required by applicable data protection laws.

Cancellation Fees 

Cancellation Fees - Per Passenger, Per Booking ( in addition to  the supplier and airline cancellation fees)
 

  • Domestic : 50.00

  • International: $300.00

 
Hotel are booked at non refundable rates. Unless advised otherwise and booked and refundable rates, please refer to your booking confirmation documentation. 
 
All Airlines charge cancellation fees regardless of booking class. Airline refund require a process period of 6 to 8 weeks once cancellation is confirmed. Please refer to Itinerary for fees.  


Change Policy 

Change Fees - Per Passenger, Per Booking ( in addition to  the supplier and  airline cancellation fees)
 

  • Domestic: $30.00

  • International: $100.00


All Airlines charge Change fees , in addition to the change fee the airline will charge fare difference. This is the fare difference between the original ticket booked and the new Ticket fare. Please refer to your itinerary for change fee. Please be advised that thee fare difference can be only calculated once a new fare has been enquired for. Changes are only completed on Monday - Friday 9 am - 4:30pm. No changes will be enquired for over the weekend as this will incur is a extra $45.00 after hours fee to the airline. 

Deposits 

Deposits are non refundable on cancelled bookings, Deposit can be transferred to a booking for the same traveler. Booking must be in same travelers name. ​Deposits are non refundable for accommodation and Cruise bookings. 

Package Consultation Fee 

At world Travel Guide we pride ourselves on offering professional, personalised service backed by years of experience in the travel industry. To ensure we can continue dedicating the time and expertise needed to design the perfect journey for you, we will now be introducing a per-person consultation fee for our travel packages. This fee reflects the time, research, and insider knowledge that goes into crafting your itinerary. The great news: If you choose to go ahead with your package, the fee will be fully deducted from the total cost of your trip. We thank you for your understanding and continued trust in us to make your travel dreams take flight!. Consultation fee is $50.00 per person non refundable. 
Supplier Responsibility and Agency Status
World Travel Guide acts solely as a travel agent for a range of independent travel suppliers, including but not limited to airlines, hotels, cruise lines, tour operators, transfer providers, insurance companies, and other travel service providers. We arrange travel products and services on behalf of these suppliers and do not own, operate, manage, or control the services they provide.
As an agent, World Travel Guide has no control over supplier decisions or operational matters, including but not limited to:

  • Flight cancellations, delays, schedule changes, or route changes.

  • Airline operational disruptions, overbookings, or aircraft changes.

  • Refund eligibility, cancellation policies, fare rules, or ticket conditions.

  • Ticket reissues, fare differences, airline credits, or expiry of travel credits.

  • Hotel, cruise, or tour cancellations or amendments.

  • Supplier insolvency, service interruptions, strikes, weather events, natural disasters, government restrictions, or any other events outside our reasonable control.

All bookings are subject to the terms, conditions, fare rules, and policies of the relevant travel supplier. Where a refund, credit, reissue, or amendment is requested, World Travel Guide must submit the request to the relevant supplier for assessment. The final decision rests solely with the supplier, and World Travel Guide cannot guarantee that a request will be approved.
Refund processing times are determined entirely by the supplier and may take several weeks or longer. We are unable to expedite supplier processing times or override their policies.
While we will always advocate on your behalf and assist in communicating with suppliers to achieve the best possible outcome, World Travel Guide is not responsible for decisions made by third-party suppliers regarding refunds, cancellations, credits, schedule changes, or any associated costs.
Clients acknowledge that they have read and accepted the supplier's terms and conditions at the time of booking and understand that World Travel Guide acts only as an intermediary between the client and the travel supplier.
 
1. Pricing and Exchange Rate Changes
This is especially important for international travel.
 
Pricing and Currency Fluctuations
All prices are quoted in Australian Dollars (AUD) unless otherwise stated. Prices are subject to availability and may change without notice until payment has been received and tickets or services have been issued. Where suppliers charge in foreign currencies, exchange rate fluctuations may affect the final price payable.
2. Airline Schedule Changes
Airlines regularly change schedules.

Airlines may change flight times, aircraft types, routes, or operating carriers at any time. World Travel Guide is not responsible for these changes but will notify clients as soon as we are advised by the airline.
3. Airline Seating
Many people assume seats are guaranteed.
 
Seat Requests
Seating requests are not guaranteed unless specifically confirmed by the airline. Airlines reserve the right to change allocated seats at any time, including after check-in.
4. Passport and Entry Requirements
 
Passport, Visa and Entry Requirements
Clients are responsible for ensuring they hold a valid passport with sufficient validity, appropriate visas, transit visas, vaccinations, health documentation, and any other entry requirements for every destination visited, including transit countries. World Travel Guide accepts no responsibility for denied boarding or refused entry due to incorrect or incomplete documentation.
5. Force Majeure

World Travel Guide is not liable for any delay, cancellation, loss, damage, or additional expense arising from events beyond our reasonable control, including but not limited to natural disasters, severe weather, pandemics, government actions, border closures, war, civil unrest, terrorism, industrial disputes, airline operational issues, or supplier insolvency.
6. Credit Card Chargebacks
 
Chargebacks
Clients agree to contact World Travel Guide before initiating a chargeback with their financial institution. Fraudulent or unjustified chargebacks may result in recovery action and the client being responsible for any associated costs.
7. Processing Fees
If you charge card fees:
 
Merchant fees, payment gateway fees, and third-party transaction fees may not be refundable where permitted by law.
8. Booking Accuracy
 
Booking Confirmation
Clients must carefully review all travel documents immediately upon receipt. Any errors in names, dates, destinations, or other booking details must be reported within 24 hours. Additional costs resulting from late notification may be the client's responsibility.
9. Special Requests
 
Requests such as adjoining rooms, bedding preferences, meal requests, wheelchair assistance, or other special requirements will be passed on to suppliers but cannot be guaranteed.
10. Travel Advisories
 
Clients are responsible for monitoring travel advice issued by the Australian Government and complying with all entry and exit requirements.
11. Lost Documents
 
World Travel Guide is not responsible for lost, stolen, or damaged passports, visas, tickets, travel documents, or personal belongings.
12. Communication
 
Clients are responsible for providing a valid email address and mobile phone number and for checking communications from World Travel Guide before departure. We are not responsible for missed notifications where incorrect contact details have been provided.
13. Name Changes
This one is very important because it causes many disputes.
 
Airline tickets are generally non-transferable. Name changes are subject to airline policies and, in many cases, require the purchase of a new ticket.
14. Travel Advice Registration
 
Clients are encouraged to register their overseas travel with the Australian Government's Smartraveller service before departure.

Errors and Omissions
While World Travel Guide takes every reasonable care in preparing itineraries, quotations, and travel documents, clients are responsible for checking all documentation upon receipt. World Travel Guide will not be liable for any loss resulting from inaccuracies that are not reported promptly.
